HOUSING ASSOCIATIONS & PROPERTY OWNERS

The board makes the decisions. We produce the basis and hold the project together.

MODUR Projects acts as the client's representative in association projects – from feasibility and decision basis to procured contract, construction management and documented final checks.

Contractors build. We handle engineering, procurement, management and follow-up for the association.

THE CLIENT SITUATION

Boards decide on matters they rarely have documentation for.

A board changes members, works voluntarily and still has to commission projects worth millions. What is missing is usually not the will, but the documentation, the time and a technical counterpart.

  • Quotes cannot be compared.

We describe the same scope for every bidder, so price differences reflect execution rather than what happens to be included.

  • Decisions must be made without technical grounds.

We produce a decision basis with options, consequences and costs in a form that works in a board room and at a general meeting.

  • Costs grow during delivery.

Changes and additions are handled in writing and reconciled against budget continuously, instead of surfacing on the final invoice.

  • Nobody represents the association on site.

We attend site meetings, review the work against the documentation and drive deviations towards the contractor.

  • Members receive too little information.

The board gets status updates written to be forwarded to members without rewriting.

  • Documentation is missing afterwards.

Documents, checks and decisions are collected during the project and handed over in a form the association can manage.

RESPONSIBILITIES

Who does what in the project.

Unclear roles are the most common source of conflict in association projects. We set the split in writing before procurement.

THE PROJECT JOURNEY

From the first question to documentation you can manage.

Association projects usually follow the same order. Each stage ends with something the board can use – not just a meeting.

  1. 01

    Feasibility and current status

Needs, technical conditions and reasonable scope are mapped before money is committed.

    Status overview with options

  2. 02

    Decision basis and budget

Options are priced and their consequences described ahead of a board or general meeting decision.

    Basis for decision

  3. 03

    Engineering and documents

Technical solutions, drawings and any permit documentation are produced and coordinated.

    Documents to build from

  4. 04

    Contractor procurement

Tender documentation, bid review and comparison on equal terms ahead of the board's choice.

    Comparable bids and contract

  5. 05

    Delivery and control

Site meetings, schedule, variation handling and continuous reconciliation against budget.

    Status reports to the board

  6. 06

    Inspection and quality assurance

We monitor workmanship and documentation against contracts and project documents, follow up departures and coordinate preparations for the relevant inspections.

    Final documentation

GOVERNANCE AND COMMUNICATION

What makes a project manageable for a voluntary board.

We adapt reporting and decision points to how an association actually works – with meetings a few times per term and members who want to know what is happening.

Decision points set in advance
We mark where the board needs to decide, so nothing falls between two meetings.
Reporting you can forward
A short status on progress, cost and next steps, written to be shared with members.
Financial reconciliation
Budget, work completed and approved additions are reported in the same format throughout.
One point of contact
The board has one counterpart instead of distributing questions across consultants and contractors.
Impact on residents
Access, disturbance and phasing are planned for from the start, not added later.
Basis for management
Documents and checks are delivered in a form the next board can use.

OUTCOME

What the association has when the project is finished.

Decisions that can be explained

Every major choice is documented together with the basis it was made on.

Costs that kept up

Deviations were handled as they appeared, not discovered at final accounting.

Verified workmanship

Control points and deviations are documented and closed.

Documentation to manage

Documents, warranties and checks collected for future maintenance.

FAQ

Questions from boards

Does MODUR Projects build?
No. We act as the client's representative and do not carry out the contract. The building work is performed by the contractors procured for the project, which lets us review their work without a conflict of interest.
When should we involve you?
Preferably before procurement. Much of the cost and quality outcome is decided in the feasibility stage and the tender documentation. We also join ongoing projects, for example for construction management or quality control.
Can you produce material for a general meeting?
Yes. We compile options, consequences and costs in a document written to be presented to members, not only to technical readers.
How are changes and additions handled?
Variations are reported, priced and approved in writing before being carried out. We review the basis and reconcile against budget continuously.
What does it cost to engage you?
The fee depends on scope and which stages we are responsible for. We propose a setup and fee after a first meeting, before the association commits.
Can you work alongside our property manager?
Yes. We complement financial and technical management with project-specific expertise and coordinate with the manager throughout.
Do you help with inspection and final checks?
We check and document the work against the documentation, prepare material ahead of inspection and follow up that noted defects are rectified.
Do you work across Stockholm?
Yes, we work in Stockholm and the surrounding region, and take assignments elsewhere in Sweden depending on scope.
